- Using One Touch™
You will notice that we have made quite a few changes to the look of the Form 18a, so that it more accurately reflects the prescribed form format that you are accustomed to. The aim of this is to improve your experience when using the form and allow you to complete forms faster and with confidence.
Creating the form
You can create the Form 18a in Realworks through the usual options of creating a new form, duplicating an existing form, or populating the form through your CRM or a Realworks template. Where you are creating a form through your CRM or a Realworks template, these will automatically populate as expected.
Contract or Renewal
Once the form has been generated, you will need to select from the drop-down menu whether the agreement is a "New contract" or a "Renewal".
Item 1 - Lessor
You will notice that we have included numbered subheadings which mirror that of the prescribed form for consistency when navigating the form.
Item 2 - Tenant/s
You now have the ability to add or remove tenants as required by clicking on "Add Tenant" or "Remove Tenant".
As the prescribed form only allow for 3 tenants in Item 2, where you need to add more than 3 tenants, an annexure will automatically be generated at the end of the form containing the relevant details and signatures of the additional tenants.
Item 3 - Agent
This section should be completed in line with your usual process.
Item 4 - Notices may be given to
This section should be completed in line with your usual process.
Item 5 - Address of the rental premises
You are required to complete both the address and the postcode, as these are mandatory fields.
Item 6 - Term of the agreement
You are required to select either "Fixed term agreement" or "Periodic agreement".
You will then be able to select the relevant date(s) using the functional calendar display.
Note ➞ you can change the year or the month by clicking the respective sections and scrolling to the desired input.
Item 7 - Rent
Input the rent amount and select the relevant rent period, i.e. per week, fortnight or month using the allocated buttons.
Item 8 - Rent must be paid on the
We have provided an open text field, allowing you to specify what day the rent is to be paid and the frequency, i.e. per week, fortnight, or month.
Item 9 - Method of rent payment
Here, you can specify the method of rent payment in accordance with your office policy on payments.
Item 10 - Place of rent payment
Specify where the rent is to be paid.
Item 11 - Rental bond amount
Specify the bond amount payable for the agreement.
Items 12 - Services
Select the relevant utilities payable by the tenant. You are also able to specify additional utilities and services in the text box provided.
Clause 12.2 allows you to specify whether the tenant is required to pay for water to the premises.
Item 13 - If premises not individually metered
If any of the services provided to the tenant are not individually metered, you can insert the percentage that the tenant is responsible for in this section.
Item 14 - How services must be paid for
This should be completed in line with your usual process.
Item 15 - Number of persons allowed to reside at the premises
This should be completed in line with your usual process.
Item 16 - By-laws
Here you can specify whether there are any relevant by-laws and if so, if a copy has been provided to the tenant/s.
Item 17 - Pets
You are able to specify whether pets are allowed at the property by selecting either "No" or "Yes". You can also add or remove pets as needed by clicking on "Add pet" or "Remove pet".
Item 18 - Nominated repairers
This section should be completed in line with your usual process.
Part 2 - Standard Terms
Names of Approved Occupants
You are able to add and remove additional occupants as needed by clicking on "Add Occupant" or "Remove Occupant" and completing the fields with the relevant information.
Note ➞ you can add up to 8 approved occupants in this section.
Special Terms and Annexures
If there are any additional Special Terms or Annexures that you would like to include, you may do so by copying and pasting these directly into the relevant boxes.
You can also add additional Annexures by selecting "Add Annexure" and an additional text box will be generated. Likewise, you can remove unwanted Annexures by selecting "Remove Annexure".
If you have standard Special Terms and/or Annexures that your agency include in each agreement, you can add these into your Realworks template to ensure that they automatically populate for your future agreements. For more information on how to create/update your Realworks templates, click here.
Note ➞ any additional Special Terms and Annexures will appear at the end of the form.
Special Conditions
This section provides some standard Special Conditions that you are able to select using the drop-down function.
Once selected, the form will populate the relevant clauses and will prompt you for any additional information required. You can remove the additional special conditions by selecting "Remove condition".
