Track Contract Status email
There are two ways of tracking your agreements using One Touch™.
The first way is to locate the initial email sent to the person listed to receive notifications on the One Touch™ agreement. This email contains a "Track Contract Status" button, which will take you to the Activity Panel for that agreement.
The Activity Panel will display an overview of the signing activities for that agreement, including, which tenants have completed signing, which tenants have opened the signing email, change requests and any failed email deliveries. The Activity Panel is an extremely useful tool to help you manage the signing and return of your General Tenancy Agreements.
Note➞ You can refer back to this at any time during the signing process by accessing the Track Contract Status button.
If you cannot locate the initial email, you can also view the Activity Panel by locating the relevant form from within your Realworks Forms list. Double click the form and you will have access to the Activity Panel, which provides real time updates on the signing progress.
One Touch™ notifications
It is still expected that agencies will continue to manage their agreements and tenants as they would have prior to the roll out of One Touch™. The notifications offered through the complimentary One Touch™ experience should simply be treated as one less administrative task they need to complete.
Automated reminder emails are sent to the Property Manager, the Lessor/Agent Signee, and the tenants during the One Touch™ signing process. The frequency of these emails will differ depending on which party is receiving them.
Property Manager: The person listed to receive notifications on the One Touch popup will receive a reminder email the day of the signature deadline if all parties have not completed signing by this time.
Lessor/Agent Signee: Likewise, the Lessor/Agent Signee will receive a reminder email the day of the signature deadline if all parties have not completed signing by this time.
Tenants: The tenants will receive various reminders depending on the signature deadline selected by the Property Manager when creating the form. We have listed the relevant scenarios below:
- Scenario A: Where the signature deadline is set for less than 3 days in the future, a reminder is sent to the tenants on the day of the signature deadline.
- Scenario B: Where the signature deadline is set for more than 3 days in the future, a reminder is sent to the tenants 3-days after the initial email is sent.
- Scenario C: Where the signature deadline is set for more than 7 days in the future, a reminder will also be sent to the tenants on the signature deadline due date.
